Increase in Document Supply Service Use

More students, faculty, and staff are using InterLibrary Loan and Documents Supply services. After increasing 22% in 2013-14, it increased another 7.3% in 2014-15, while the fill rate continues high at 98%.

This year we also increased access for HKUST users, by entering into ILL agreements with the National Science Library, Chinese Academy of Sciences and with the 500-member China Academic Library & Information System (CALIS)

As part of being a learning organization, the Library encourages staff to develop professionally, and share their knowledge and expertise locally and globally, with the goal to improve HKUST Library’s services and resources provision. As a result, HKUST Library staff gave 18 conference presentations and published two articles and one book chapter this past year.

Skills Upgrading & Library Connect

Skills Upgrading & Library Connect

As part of the Library’s continuing professional development, in order to improve library services at HKUST, the Library held: 16 Library Connects (514 attendees), 9 Fun 紛 Cafés (248 attendees), and the Library Staff Retreat ( two half-days on June 18 & 19, 2015).

Library Connect is a forum for staff to share their professional knowledge and conference experiences. 2014-15 topics included Library signage, 3-D printing, Library marketing, & the new ACRL Framework on Information Literacy. Fun 紛 Café is a lunch-time gathering where staff share hobbies and interests, such as photography. The Staff Retreat is now an annual event, and an integral part of the Library’s strategic planning methods.

Demand Driven Acquisitions (DDA) of E-books

DDA ensures that the Library buys e-books that will be used, by allowing patron usage to trigger purchases.

This year the Library participated in 3 concurrent DDA programs: Ebrary, Wiley, and a Joint JSTOR DDA program with 8 JULAC libraries.

Students’ Information Literacy Levels Improve

In spring 2014, we administered the Madison Assessment of information literacy to 255 third year students as a post-test (following up on the fall 2011 pretest given to 266 of the same cohort when they were first year students).

The students showed statistically significant improvement in their overall information literacy proficiency. They went from only 54% of them proficient to 77.6% of them proficient or “advanced” proficient.

Research Assessment Exercise 2014 – A Difficult Journey Completed Successfully

December 16th, 2013 was a happy day. It was the submission deadline for RAE, Prof Joseph Lee, VPRGS, and Prof Tongxi Yu, submitted the data to UGC on behalf of HKUST in the Library’s Special Collections Gallery.

Since October 2011, the Library worked closely with UGC, JULAC, VPRGO and cost centers on RAE 2014.

  • We helped to process research outputs, obtain full-text, input and verify metadata, clear copyright and create the Document Repository.
  • We were involved with training and meetings with cost centers.
  • With other UGC libraries, we contacted 161 major and 1,300 minor publishers to clear copyright.

A long and arduous task for many at the university, the Library and its staff were proud to participate and help

A New Space & Enhanced Access for Collection

A major renovation work was completed to create the Hong Kong Chiu Chow Chamber Of Commerce Ko Pui Shuen Gallery. This gallery space now has increased security and acoustic control. Three exhibitions plus some meetings have already been held in this multi-function gallery.

With funding provided by Dr. Ko Pui Shuen, we also completed the digitization of antique maps, maps of China, HKUST posters and architectural drawings, which are now available in the RSE – the Rare and Special E-Zone http://library.hkust.edu.hk/rse.

WhatsApp a Librarian – A New Way to Communicate with the Library

This service was launched in February. Staff answered 79 questions via WhatsApp, constituting 6% of all questions asked.

Users liked its convenience and fast turnaround.

Scholarly Communication & Author Workshops

To update our researchers on latest trends in scholarly publishing and communications, the Library launched a new website, Scholarly Communications @HKUST Library http://library.hkust.edu.hk/sc/. This online information platform focuses on 4 main areas: Author Tips, Data Management, Open Access (OA), and Research Repositories.

In conjunction with major academic publishers, the Library held 3 Author Workshops for HKUST staff and RPGs. Videos, PowerPoints, etc. from the workshops are hosted on the new website.

HKUST Scholarly Publications Database Enhanced

We made a number of enhancements to the HKUST Scholarly Publications Database. These included the redesign of the Home Page, implementation of Online Attention with altmetrics badge, addition of Project data and Patent records, and establishment of links to retrieve pre-published full-text version in the Institutional Repository.

It has proven useful and popular with the HKUST community; with PAO having implemented a search box in the Home Page of the HKUST Website to enable visitors to use the SPD. This was made possible by using the SPD API we previously developed.

New Joint University Access Card Successfully Launched

Led by HKUST, this project aimed to produce a durable plastic card, to facilitate users’ access to other JULAC libraries. Another aim was to streamline users’ registration process at host libraries. On behalf of JULAC, we tendered a vendor to design and supply pre-printed cards, printers, and software.

We took a leading role in designing the JULAC Card Registration Systems (JCRS) and developing its core component to facilitate user-initiated transfer of data among member libraries in a secured environment.

The new JULAC Library Card was launched on May 19, 2014.

LC 24 Hours & Learning Activities

In fall 2013, the LC opened 24 hours per day for the whole term. It remained in service on all public holidays for the two terms. Overnight traffic was high.

Built and operated with a vision of an integrated space for students to access academic resources and services from multiple units, and to participate in learning activities of various kinds, such as:

  • Careers Center activities (one-on-one consultation; CV writing and review; campus interviews, etc.)
  • Student Development activities (REDbird Award Program briefing and training; UROP in Action briefing; Counseling and Development workshops; SBM ELITE program, etc.)

We also continued the SAO jointly sponsored Snack Breaks during finals in fall 2013 & spring 2014 and Tea with the President in the Refreshment Zone in Fall 2013.

Events & Attendance Higher than Ever

This year we held a record number of events, with high attendance and encouraging feedback. Some of the events were part of the University academic programs, partnering with departments and campus units. There were 7 exhibitions and 31 related talks and guided tours, in addition to the display of student artworks. The 7 exhibitions were:

In 2012, the Library held its first all Staff Retreat to develop a Strategic Plan for 2012-2015, and held a Scenario Planning Workshop for2013. Through these, our staff collectively engaged in strategic planning and communicated efficiently across units. The sessions proved valuable in helping the Library to position its staff and services effectively for the 3-3-4 transition.

The Library worked hard to encourage and to support staff development. The number of programs attended increased 138% and staff enrollments by 337% compared to the previous year.

To prepare for the Research Assessment Exercise, the Library formed an RAE Team. Team members helped in the design of Research Outputs Submission System (ROSS) interface, created the document repository, programmed the token-based single-sign-on interface, and developed the research output de-duplication report mechanism.

We are currently verifying and inputting bibliographic information, obtaining the full-text of the submissions, cropping abstracts from full-text, clearing copyright, arranging submission of physical items, and liaising with cost centers. The team worked closely with cost centers in both the dry run and the final submission exercises.

HKUST Scholarly Publications Database

Working with VPRGO, we developed the Scholarly Publications Database to index publications by HKUST researchers. By June 2013, it indexed 50,180 publications, had 498 publicly released author profiles, and was accessed 190,787 times. It makes HKUST’s research output easily discoverable.

Internally, the database can be a tool for analysis and reporting; externally, industries and researchers can use it for knowledge discovery. We developed SPD APIs to support the Research Outputs Submission System (ROSS) and to help power PAO’s revamping of the HKUST Website. We also developed a program to automatically harvest the cited count records frequently.
