Terminology

Office of Record

For documents that are widely distributed within the institution, an "office of record" is designated as the unit that holds the "official copy" of these items. Generally, this is the office that produces the documents.

Record Group

A record group is a body of organizationally related records established by archives to accommodate the records of major organizational units of an institution. A record group may also represent a synthetic collective body created to group together the records of several small bodies with similar functions, such as student organizations.

Subgroup

A record subgroup is a set of organizationally related records placed within a record group to correspond to the subordinate administrative units that collectively form the record group.

Record Series

A record series is a set of documents that are filed together, usually using an internal system of arrangement (e.g. alphabetical or chronological filing), with a relationship to a common function of the office that created them. Typical record series include subject files, project files, and correspondence files.
